 POSITION TITLE:             Human Resources and Recruitment Coordinator

 JOB STATUS:                   Full-time

 HOURS:                            35 hours per week.  Monday to Friday

 SUMMARY:                       This position will provide valuable exposure to various functions within Human Resources.  The successful candidate will assist in administering and coordinating many functions within Human Resources with primary emphasis on recruitment, new hire set-up, and program support including benefit administration and tracking of professional development.  This position will report to the Human Resources Project Leader.

 Recruitment Responsibilities

  • Ability to coordinate the flow of candidates thorough the recruitment process, from pre-employment requirements, scheduling interviews to selection of top candidates and performing reference checks.
  • Assist in full cycle recruitment lifecycle efforts, including posting and advertising approved open positions, support the resume screening process, coordinate and participating on interviews, conduct reference checks and to assist in final recruitment processes including creating offer letters, new hiring packages, training schedule and bringing new employees on board through to exit.
  • Help coordinate summer student recruitment and practicum placements.
  • Maintain strong working relationships with internal hiring supervisors.
  • Attend job events, professional networking and sourcing potential candidates along with fostering long-term relationships.
  • Maintain computer based recruitment tool and tracking system, Input information accurately into the Avanti system. Portal and job posting, screening criteria, applicant correspondence and to assist with job offers and reports as needed.

Other Administrative Responsibilities:

  • Document preparation and filing, both electronic and hardcopy.
  • Assist the team with the delivery of training; coordinate and/or schedule all aspects of training delivery, in conjunction with internal or external resources.
  • Maintain training and certification records for all employees. Capturing and inputting professional development and certification into Avanti system.
  • Work cooperatively with Human Resources in responding to questions related to organization policies, programs and practices inquiries in a timely and professional manner.
  • Provide guidance and support on HR policies and procedures. Researching and keeping current on industry trends and employment legislation and ensures compliance.
  • Assists in executing Performance Management to ensure effectiveness, compliance and equity.
  • Accountable for producing monthly reports to Management on various KPIs.
  • Perform other Human Resources special projects and initiatives as required and assigned, including but not limited to: Employee data input, creating files, payroll data input.  Liaison with employees regarding benefit enrollment and other benefit administration to ensure required documentation is completed and forwarded to benefit provider.


  • Post-secondary Diploma or Degree in Human Resources and/or Business Administration.
  • Must have advanced knowledge of Applicant Tracking Systems, job portals, Microsoft Office programs, including Outlook, Excel and Word.
  • Minimum 2 years of hands-on experience with full cycle recruitment and HR work experience preferable for a not-for-profit organization.
  • Previous experience with Avanti software is an advantage.
  • Demonstrated understanding of the recovery model, harm reduction philosophy, strengths based and empowerment approach.
  • Ability to handle confidential information in a discreet and professional manner.
  • Previous experience with running reports, payroll and benefits administration is an asset.
  • Access to own vehicle as travel will be required to other program locations throughout the day.
  • Familiarity in providing first-rate customer service when handling employee requests.
  • High sense of urgency and prioritization of daily activities.
  • Exceptional attention to detail, quantitative thinker and proficient at noticing errors.
  • Working within a collaborative team environment and comfortable in sharing workspace is important.
  • Personal attributes: ethical, energetic, flexible, can work independently as well as a member of a team.
