POSITION TITLE:              Outcomes Training and Auditing Coordinator 

JOB CLASSIFICATION:   Temporary Full-time Maternity Leave Starting Mid-September for Training (2 days a week).  End of October (Full-time)

HOURS OF WORK:           35 hours per week commencing end of October

JOB SUMMARY:               The Outcomes Training and Auditing Coordinator will report to the Executive Lead, Community Impact and Evaluation.
This position will oversee facilitation and planning for training; auditing related to data collection and use; and maintenance and
support of the client information database to meet service user, staff, agency and funder needs.

Qualifications/Requirements:

  • A recognized diploma or undergraduate degree in database management, business, education or equivalent.
  • Knowledge and understanding in the area of program evaluation and outcome measurement is an asset.
  • Experience facilitating and developing training.
  • Two years of experience in working with database programs.
  • Experienced with Microsoft Office Suite (Word, PowerPoint, Excel and Outlook).
  • Experienced with the Penelope client database is an asset.
  • Familiarity with other software such as Venngage, Vimeo, Survey Gizmo is an asset.
  • Experience working in a not-for-profit and/or mental health setting is an asset.
  • To participate as a responsible member of the agency. 

Client Service Responsibilities: 

Training:

  • Develop training modules, both in person and online, for CMHA staff related to all aspects of data collection and use in support of the client information database.
  • Facilitate training for new and current staff on use of the database system and other related information management topics. Training is offered primarily during day time hours, but occasionally on evenings and weekends
    to support staff availability.
  • Review and update the training project plan, and training schedule with input from service users, staff, agency and Impact Evaluation Team.

Auditing:

  • Ensure data entry by all staff is up-to-date and accurate. Audits will be completed to ensure receipt of information as required (i.e. surveys, pre/post-tests, general data entry).
  • Coordinate effective database maintenance to ensure integrity of data, including regular audits of client and program files, database troubleshooting and procedural testing. Facilitate external auditing as required.
  • Review and update the auditing project plan, and schedule with input from staff, team leads/supervisors, agency, and Impact Evaluation Team.

Support:

  • Act as a resource person for staff questions and concerns regarding the database. Maintain an accurate log of all request in the assigned tracking system.
  • Provide support for developing, editing and checking for design consistency in documentation, training modules, infographics and reports as required.
  • Collaborate and provide support to other members of the Impact Evaluation Team for data collection, entry and reporting as required.
  • Complete other administrative duties as required.
