POSITION TITLE:                 Data Entry Assistant – Outcomes and Reporting 

JOB CLASSIFICATION:       Part-time. One Year Contract

 HOURS OF WORK:             0.6 FTE (21 hours per week) with flexibility


The Data Entry Assistant will report to the Executive Lead, Community Impact and Evaluation and work collaboratively with the Coordinator Outcomes and Reporting and the Database Administrator/Trainer to perform basic database maintenance, manage requests, enter client and volunteer information and audit completeness of data to meet staff, program and funder needs.

Skills & Qualifications

  • Completion of high school required.
  • Two years’ experience working with database programs.
  • A recognized diploma in database management, business or equivalent is an asset.
  • Knowledge and understanding in the area of database administration is an asset
  • Experience working with client management database (i.e. Penelope) and/or the FCSS FSII database is an asset.
  • Proficient in MS Office including Outlook, Word, Excel, PowerPoint and Access.
  • Experience working in a not-for-profit and/or mental health setting is an asset.

Service Responsibilities

  • Ensure data entry is up-to-date and accurate as assigned, retrieve data, input and report statistical information (including client and volunteer records, survey, pre/post-tests) as required.
  • Provide effective database maintenance to ensure integrity of data including accuracy and completeness of data, consistency of documents (manual and electronic) and regular audits of client, volunteer and program files.
  • Coordinate with the Recovery College and Community Engagement Teams to ensure that all Recovery College courses are listed on the website and within the database, identify any required corrections/changes and
    communicate changes as required.
  • Manage registrations for Recovery College courses, complete audits to ensure accuracy, and communicate with recovery trainers and peers regarding any registration changes, courses that are at capacity and
    students who are waiting for a course.
  • Coordination of data entry and tracking into the FCSS FSII database.
  • Provide database support for staff inquiries and complete basic requests. Manage the outcomes email and tracking system.
  • Collating information into simple reports (i.e. infographics, survey summaries not included in the database, etc.), and providing weekly updates reports to programs as required.
  • Provide support for developing, editing and consistency of design for documentation, infographics and reports as required.
  • Taking notes at meetings/training sessions and keeping track of all forms, surveys, and documentation used to support Impact Evaluation Team tasks.
  • Completing other administrative duties as required.
  • To participate as a responsible member of the agency.
