POSITION TITLE:                Scheduling Administrator for Supportive Living (Group Homes) and
Recovery College

JOB CLASSIFICATION:      2 Part-time Positions FTE .6 

HOURS OF WORK:             Approx 20 hours per week.  Hours must be Flexible as these positions
will have at least one-cross over day per week.  As well will share
‘on call’ responsibilities.


The scheduler is responsible for preparing schedules and maintain appropriate front line staffing levels within our Supportive Living and Peer Support teams.

The Coordinator possesses a positive attitude, is reliable team-player, and demonstrates excellent communication skills, solid customer service skills, efficient time management, and strong attention to detail and the ability to multi-task.


  • A university degree or diploma in a human services area.
  • Successful candidate will have previous experience in calendar management including managing time and staff to ensure shifts are filled.
  • Advanced proficiency in Microsoft Outlook along with Word and Excel and/or other calendar management or scheduling software programs is needed.  Knowledge of Penelope scheduling
    is an asset.
  • Able to work effectively and efficiently in a deadline driven environments.
  • Flexible and adaptable schedule to support Supportive Living 24/7 operations.
  • Strong Time Management skills.
  • You have worked in the mental health field for over two (2) years and have a deep commitment to and understanding of the recovery model.  You demonstrate
    deep respect for the teams you support, your peers and community partners.
  • You have an outgoing, friendly, and extroverted personality.
  • Previous experience working in an interdisciplinary setting.
  • Valid driver’s license and a vehicle.

 Client Service Responsibilities:

  • Managing the staff resource supply and demand.
  • Coordinating the schedules to ensure proper coverage for the Supportive Living Staff, Recovery Trainers and Peer Support workers, including late, appointments,
    sick, vacation and wellness days.
  • Processing and tracking requests for time off.
  • Review and verify Timesheets against current schedules.
  • In coordination with Human Resources arrange program orientation and/or cross training shifts for new staff and provides coaching to staff regarding program procedures and best practices.
  • Assist with additional program administration, reporting and scheduling meetings within team, monthly and quarterly.
  • Participate in community liaison meetings as required.
  • Work in partnership with our internal staff, community partners in scheduling to best accommodate the needs of the agency and the client populations served.

  • Provide excellent customer service by conducting call backs and responding to emails or texts in a timely fashion.
  • Sound judgement and the ability to work independently and as part of a team.
