POSITION SUMMARY: Reporting to the Director, Finance & Corporate Services, the Senior Manager, Operations and Facilities is responsible for providing the tangible support necessary for all employees to fulfill their roles and responsibilities and for all clients to be able to participate fully in CMHA Calgary Programs.
The Senior Manager, Operations and Facilities oversees all space requirements, furniture, IT hardware, facility maintenance, office supplies, and all contracted services. This position therefore takes the lead on all Corporate Services’ projects.
This role is also responsible to ensure that CMHA Calgary meets all Health & Safety and OHS legislation.
FUNCTIONAL RESPONSIBILITIES:
Leadership
- Build trusting relationships with direct reports, and internal and external stakeholders at all levels by modelling thoughtful, authentic, and adaptive leadership
- Build an effective team through providing guidance, coaching, and mentoring
- Ensure that the performance management process is focused on the individual’s growth and is goal oriented
- Ensure succession planning processes and documentation are in place for areas of responsibility and supervision

Administration, Procurement & Inventory
- Ensure that CMHA Calgary has the physical resources needed to run daily operations which includes overseeing and negotiating the contracts and managing staff and contractors responsible for reception, maintenance, and all other office equipment and services needed.
- Responsible for the procurement of goods and/or services for CMHA Calgary
- Coordinate the sourcing of bids, Request for Proposals (RFP), Request for Quotes (RFQ), and requests for Information (RFI) as required
- With the oversight of the Director, Finance & Corporate Services manage all purchasing for CMHA Calgary
- Monitor and maintain inventory of all organizational assets
 Health & Safety in conjunction with Human Resources
- Implement, manage, and maintain the company's Emergency Response Plan, Business Continuity Plan, as well as the Occupational Health & Safety (OH&S) Program
- Manage, and maintain an Occupational Health & Safety (OH&S) Program that is compliant with all applicable federal, provincial, and local regulations including policy, procedures, and protocols
- Collaborate with Human Resources to oversee, monitor, and provide timely communication to employees regarding all Health & Safety related matters
- Work with Human Resources to develop, implement, and maintain a Health & Safety training program
- Maintain knowledge and proficiency in current safety legislation and industry safety resources
- Collaboratively support and resource the Joint Health and Safety Committee
 Facility & IT
- Ensure all facilities operated or utilized by CMHA Calgary and its programs meet the Health & Safety (OHS) standards outlined by federal, provincial, and local government regulations
- Liaise with all departments, landlords, property managers, and contractors to ensure all facilities meet or exceed our clients’ and staffs’ requirements
- Act as a point person for all IT requests and requirements including all assignment of hardware, software installation, and account activation for new employees
- Working with the Director, Finance & Corporate Services, oversee and maintain CMHA Calgary’s infrastructure, including its facilities, information technology and equipment
 Project Management
- Oversee projects that arise as identified by the Director, Finance & Corporate Services
- Create and manage project work plans and revise as appropriate to meet changing needs and requirements for CMHA Calgary
- Identify resources needed and assign responsibilities for projects
- Manage day-to-day operational aspects of a project to ensure completion of the project within determined timelines
- Assess project issues and identify solutions to meet project goals
- Proactively communicate project status, issues, and risks to the Leadership Team
- Work collaboratively with staff within CMHA Calgary and provide regular project status updates through established communication strategies
- Develop effective evaluation of project objectives and goals
   QUALIFICATIONS AND SKILLS
- Minimum of six years’ experience in a senior management role overseeing office administration, facility management, IT, and health and safety
- Bachelor’s degree in business management with specialty in project management or combination of experience and education preferred
- Strong leadership skills with the ability to build and manage teams, inspire others, as well as interact effectively with peers and senior leaders
- Knowledge of project management, contract, and budget administration
- Demonstrated knowledge and experience in Emergency Response Plans, Business Continuity Plans, and Occupational Health & Safety regulations
- Demonstrated competence in verbal, written, and computer-based communication styles
- Excellent computer skills including Microsoft.
