POSITION TITLE: Resident & Corporate Experience Coordinator
LOCATION: Calgary, Alberta
JOB TYPE: Permanent, Full-Time
HOURS OF WORK: 37.5 hours per week
POSITION SUMMARY: This position will support the Corporate Services team and will be responsible for various aspects of project work and office management, along with financial, administrative, and IT tasks.
FUNCTIONAL RESPONSIBILITIES:
- Manage all front office communication and deliveries including faxes, voicemail, mail, and filing.
- Develop, implement, and maintain an inventory tracking process.
- Identify future requirements for large items such as computers, furniture, and/or appliances.
- Coordinator all staff and/or furniture moves across the agency, including booking movers and other required services to complete the move.
- Compile and maintain a preferred vendor list.
- Request quotes from vendors and work with Finance to incorporate into department budgets.
- Manage all storage facilities.
- Under the direction of the Senior Manager, Operations & Facilities, manage maintenance and service requests from CMHA Calgary worksites.
- Coordinate with the Health and Safety Committee (HSC) regarding documentation and program maintenance.
- Purchase necessary supplies for all CMHA Calgary worksites.
- Main support with financial and administrative tasks such as program fees and main office procedures.
- Manage housing software and ensure information is up to date, including move ins and move outs, payment management, maintenance tracking and monthly reports.
- Develop and implement workplace solutions to improve operational workflows.
- Oversee procurement processes, ensuring cost efficiency and adherence to organizational policies.
- Serve as a liaison with internal and external stakeholders, providing input in operational decision-making and project management.
- Other duties as required.
QUALIFICATIONS AND SKILLS
- Post-secondary education in Human Services, Business Administration or related field is preferred.
- Minimum of five years’ experience. Office management and/or financial experience is an asset.
- Strong organizational and analytical skills with the ability to coordinate multiple tasks and determine priorities.
- Excellent computer skills including Microsoft Office Suite, Zoom, Outlook and database systems.
- Confidence to ask questions and seek clarity across all levels of staff and external parties.
- Strong knowledge of office procedures and practices.
- Superior writing, communication, and interpersonal skills.
- Ability to exercise good judgement, discretion, confidentiality, and professionalism.
- Awareness of mental health and addiction.
